In March 2012, the House and Senate Education Committees passed a motion requiring the Arkansas Department of Education to collect data on the parental involvement efforts, school improvement provider accounting records, and employee absentee reporting. Below is a break-down of how each matter is collected by the ADE.

Parental Involvement Efforts: Parental involvement efforts are defined as activities that support the educational process of students through the involvement of parents. The coding methodology is already in place for tracking parental involvement. Function code 2170 is required coding for parent involvement expenditures.

School Improvement Provider Accounting Records: APSCN has designated field “Status 1” on the vendor screen for the SIG designated vendor. All SIP providers will need to have “SIP” in this field. In the event a particular vendor provides SIP services as well as non SIP services, two vendor numbers will be required in order to segregate the SIP expenditures to the designated SIP vendor. The “Status 1 Field” is found on the “Miscellaneous Information” tab on the vendor screen in the FMS software. For further clarification on where this information is located, please refer to the “Training Database” attachment in this memo. This screen shot will provide a clear depiction of where the tabs and fields are located.

Districts may contact the help desk at 1-800-435-7989 (right help desk number?), or call their APSCN FMS field rep for additional information and assistance. This information will be included at the August 7, 2013 Data Conference in the “Financial Information” session. All transactions on vendors labeled “status1=SIP” will be for school improvement providers only.

Employee Absentee Reporting: Employee absentee reporting shall be reported in the APSCN software HR module.   Effective Fiscal Year 2013-14, the reporting of all absences from the classroom, office, etc. shall be maintained in the finance software. This is no longer an option, but a requirement.
